How Dynamic Fitness Replaced Spreadsheets, Slack, and a Custom Intranet to Run Its Entire Team on NetGym
Dynamic Fitness used NetGym for years as a Group X subbing tool. When their marketing leader, Ryan Ensmann, unexpectedly inherited Group X, he discovered NetGym could do far more. Today every department, from front desk to personal training to the CEO, runs on one platform integrated with ABC Fitness.
Dynamic Fitness is a locally owned and operated gym brand built on a simple belief: everybody deserves an awesome gym. Its 30,000+ square foot clubs bring boutique-style group classes, personal training, and family amenities under one roof at a price that doesn't break the bank, and it has become one of the fastest-growing fitness brands in Houston. With a member base and entry-level workforce that are now majority Gen Z, Dynamic Fitness needed staff operations that felt as modern as the clubs themselves.
Ryan knows the old way firsthand. Before NetGym, he was both an instructor and a Group X supervisor at Dynamic Fitness, and he lived every headache on both sides of the sub request.
An instructor who needed a sub had to dig up a spreadsheet of phone numbers, text everyone on it, and wait, sometimes until five hours before class, before escalating to the Group X supervisor to sort it out.
Every sub or cancellation meant manually editing the event in ABC and making sure schedules lined up. That added 20–30 minutes of admin to every single change.
Because everything was manual, changes fell through the cracks. Classes were canceled without the front desk or members ever being notified, leaving staff to field the complaints.
Outside Group X, managers built schedules in a Google Sheet each month, screenshotted it, and texted it to staff. Coverage meant endless one-on-one back-and-forth, and manual tracking led to hourly wage miscalculations.
Teams communicated in Slack, and resources lived on a custom-built employee website stitched together with view-only Google Drive links, since not every employee had a Google Workspace account. Someone had to manually add and remove people everywhere, and with departments working in silos, NetGym was seen as "just a subbing platform."
NetGym was our all-in-one solution that we didn't even know we had, for everything internal, from communications to scheduling to training. You don't need another software for your teams to use.

When Ryan inherited Group X, he went in expecting to cut NetGym and move everyone onto fewer tools. Once he got hands-on, he realized NetGym already was the consolidation he was looking for. As he puts it, "I was like, we don't need it, and then I was like, we can't live without this."
Instructors post their own sub requests, a colleague claims the class, and the manager simply approves it. The schedule updates automatically, with no manual edits in ABC and no group texts.
Through the ABC integration, new employees are automatically added to NetGym and placed into the right teams, chats, and channels. When someone leaves, they're removed. As Ryan says, "Just think of the headache of managing the messaging system you don't have to deal with anymore."
Every document, policy, and training resource now lives in an app every employee already has, with no Google Workspace licenses or shared links to manage.
Managers build schedules for membership, front desk, and training teams in NetGym and post open shifts for staff to claim. Back-end reporting keeps hours accurate and payroll clean.
Dynamic Fitness started with Group X, then brought in its combined membership and front desk team, followed by personal trainers. Today the entire company is on NetGym, including CEO Jared, who loves the channels. NetGym's onboarding support and training resources made adoption easy, and front desk staff picked it up almost immediately.
Instructors handle coverage themselves, so managers just click approve instead of managing communication and schedule edits.
Group X and personal training are now managed by a single fitness leader, a role that used to require a separate Group X position purely because of the admin load.
The front desk is always aware of schedule changes, and members get notified in time.
Shift reporting eliminated the hourly wage miscalculations that came with manual spreadsheet tracking.
Slack, a custom employee website, and spreadsheet schedules are gone. Every department, from front desk to the CEO, works in one platform.
For Ryan, the biggest change isn't any single feature. It's how the company now operates. "We feel like we're operating in the twenty-first century," he says. Dynamic Fitness went from running like an old-school gym on paper and spreadsheets to giving every team member a single internal app, which matters more than ever as Gen Z fills its entry-level roles and expects work tools to just work. One recent new hire told Ryan that NetGym was the only part of her onboarding that worked exactly the way she expected.
That efficiency has become a competitive advantage. "We pride ourselves in being able to move fast, and we move fast because of the alleviated hours of admin we no longer do," Ryan explains. Without NetGym, he says, the company would need to hire another district-level employee just to manage departments. And since restructuring Group X, the team has had the bandwidth to introduce clear performance standards and a pay scale tied to class attendance.
At a recent company kickoff, Ryan shared a slide showing every platform the team used, with three at the top: ABC, their CRM and business intelligence tool, and NetGym. The goal was for everything else to roll up into those three. For everything under NetGym's umbrella, they're almost there. Next up, Dynamic Fitness is moving learning management into NetGym and replacing its spreadsheet cleaning checklists with shift checklists, giving leadership a dashboard that shows completion rates by club instead of hours spent interpreting spreadsheets.
We pride ourselves in being able to move fast, and we move fast because of the alleviated hours of admin we no longer do.
