Jess: Hello everyone, come on in. Bear with me while I keep admitting people as they arrive. We’ve got a great crew today for the summer, so happy to see so many faces in the middle of July.
Since this is a Zoom meeting, it’s two-way, so please drop into the chat your business and where in the world you’re calling in from, so you can meet your fellow NetGym customers and community.
Welcome to the Q2 Customer Product Showcase. To frame the hour: everything we shipped this quarter builds back to the theme on screen, more ownership and more accountability. Beyond building what you’re all asking for, this is our overarching goal, always working to take things off your plate as owners, operators, and managers, and to spread more ownership and accountability into the hands of your teams. That’s the thread running through this quarter’s features.
With that, let me hand it over to our fearless leader, Danny.
Introductions
Danny: For customers who’ve signed up in the last 12 to 18 months, you’ve probably seen the on-demand demo or met with Alexa before deciding to move forward. For those who haven’t met me officially, I’m Danny Orlick, co-founder of NetGym with my wife, Danielle Orlick. We run NetGym and three kids now. Danielle is currently out on maternity leave with our third, who happens to be in this old family photo from about four years ago.
Thank you all for jumping on the NetGym train with us. For those who’ve known us since the early days, it was just Danielle and me; now we’re about 20 people. Half are on this slide, and the other half are behind their keyboards building everything you’ve been seeing over the past year.
A big welcome to two recent additions. Helen joined us from Mariana Tek to lead training and enablement, and Ryan is leading customer success. Some of you have already met Ryan on calls or in email, and some of you have already been training with Helen during onboarding.
New integrations
Danny: First up, three new integrations.
We’ve added Club Automation, part of the Daxko brand, which is popular in the club management space for larger health clubs. For the boutique studios on this call, it likely won’t apply to you.
On the boutique front, we went live last week with Hapana, which works with thousands of boutique studios worldwide. One notable brand we’ve started working with there is Strong Pilates, and we’re in conversations with KX Pilates, who have big brands across Asia and Australia. So if you’re on Hapana or considering it, that connection is live.
Third is Xplor Exerp, which sits in the club and member management space for big-box gyms and multi-location clubs, think the Lifetime Fitness type of operation. One of our customers in Australia, Fitness Playground, runs everything from a training floor to Pilates and yoga on it.
We have another integration planned for the second half of the year with a system called Kite, formerly Indigo, which was acquired by Mindbody. They’ve built some innovative franchising technology, and since some of our customers are moving to Kite, we’ll build that integration when the time comes. That should get us to about ten integrations total. We aim to be Switzerland here and connect to what you’re already using.
Time Off
Danny: First feature, Time Off. Staff can request time off right from the app on their phone, and managers get a clean view of who’s out and when. Here’s the part we love: when a request overlaps with shifts someone’s already on, NetGym flags it and offers to kick off the cover request right there.
Why we built it: time-off notes still lived in texts, Google Forms, and other tools. This brings the full scheduling picture into one place, with the accountability of knowing when someone said they’d be away instead of it slipping through an inbox. It’s a strong fit for the front-desk use case, and for any time-off policies you want to track beyond “I can’t teach my class.”
Home Page
Danny: Next, a fan favorite, people have been asking Danielle and me for this since 2019. As NetGym gained more capabilities, the ask was for one dashboard that brings it all together.
Think of it as a role-based dashboard that greets each person with exactly what they need to act on the moment they log in. The web and mobile experiences differ a bit depending on your role. The whole idea is to surface coverage gaps, urgent sub needs, and what’s happening today, especially for customers using our shift management tools, all in one place based on your role. It’s an ongoing build, and we want to keep hearing what you’d like to see there.
Shift Notes and Comments
Danny: Since we launched shift management in Q1, one of the big asks was notes and comments on the shifts themselves. Shift Notes are now live. You can drop a note on any shift, @mention people, and loop in the right team members, and anyone with access to that shift can see it.
This one came directly from you, our shift management customers from the Q4 beta and the Q1 launch. Whether it’s “don’t forget the promo at the studio today” or something your front-desk person needs to know, it’s now captured on the shift. Coming next: recurring shift notes and tasks that attach across a series.
Open Shifts
Danny: Another update, Open Shifts. Staff can now pick up open shifts directly, and managers stay in full control. One key thing: you have to publish the schedule with those unassigned shifts. If unassigned shifts aren’t visible, it’s because the schedule hasn’t been published yet. Once published, they appear on the board and the team can pick them up, accept, or decline. This was heavily requested back in Q1, and we delivered.
Task Management
Danny: Next, Task Management. This one’s flexible, use it however works for you. Think of it like the project and task trackers you’re used to, the Asanas and Trellos. In a few cases we’ve actually replaced how customers were using Monday.com. So if you’re on Monday, Asana, Trello, or Google Sheets, there’s a real opportunity to try this and consolidate, and we’d love to hear which capabilities you rely on elsewhere.
In short, it’s the standard list, board, and calendar views you’d expect. We prioritized this because we kept hearing that you’re spread across multiple systems, and one of our missions this year is to cut down the number of tools and the chaos across your team. We’re building it where the work already lives, on mobile and web, right inside NetGym.
There are two ways to use it. First, manager to team: assign tasks and processes for your team to complete and track, grouped into categories and projects. Some customers use it for marketing projects and promos, assigning tasks to everyone involved. Second, team to manager: I was on a call an hour ago with a customer about maintenance requests. Instead of splitting this into two separate features, staff can create tasks too. When I was teaching and something broke, I’d write it in a binder, snap a photo, and text the manager. Now staff can flag the issue directly in the task system, assign it to the manager or location, and you route it from there, with everything tracked. It all comes back to accountability and oversight.
Avery (AI support assistant)
Danny: Next, and I encourage everyone to interact with it, because the more you use it, the more we can analyze and improve it. It’s currently resolving about 82% of incoming tickets. It’s only as good as we train it, and we train it on how you converse with our support team.
We call her Avery. She’s our in-product AI support assistant, built so your team can get answers the moment they have a question instead of waiting on a reply. Our typical human response is two to four hours depending on severity, sometimes faster, sometimes next day for simpler things that are already in the help center.
We train Avery like a team member, so instead of hiring a 21st person, we’ve implemented the technology and connected it to NetGym, your account, and other systems it needs to look things up. And you always have a way to escalate to a human if you need one.
We still get basic questions like “how do I add a user,” and Avery can handle all of that. I’ve even jumped into conversations myself only to give the same answer Avery already gave, because the customer wanted to talk to a human. I was recently on a call with a 100-location Pilates customer whose head of ops used to be the funnel for her whole team’s questions. Once she pointed her field team to Avery, they went nuts in the best way, they didn’t realize they could get answers instantly instead of paging HQ. So keep using it, and if it doesn’t give you the right answer, there’s an escalate-to-human button and we’ll get back to you, hopefully same day.
What’s coming next
Danny: That’s what shipped. Now let’s pull back the curtain on what’s coming, because a lot of it comes directly from conversations with people on this call, folks like Greg at Dynamic Fitness, some of the B/SPOKE team, and others on our product calls.
Training / LMS
Training is what we’re calling our lightweight LMS, and it’s in active development. We have a few customers using it in alpha, building it with us as they go, and there’s a slide later for anyone who wants to join that group. This is a big one for Q3.
For those storing training in Google Drive, Notion, or spreadsheets with checklists, this is where you’ll build courses, quizzes, and lessons. We think of knowledge in two pieces: enabling and onboarding new staff (courses, quizzes, checklists) and ongoing on-the-go resources (how do I turn on the new sound system). The Resource Hub, which is getting an overhaul this year, will handle on-the-go resources, and Training handles the structured learning. We have two customers building with us now, we want more beta testers, and the plan is to go live at the end of Q3.
We want you involved in the process. Some of you have already clicked “interested” on the Training Hub on our website. If you need to enable and train your staff with courses, quizzes, and step-by-step playbooks, and you’re open to being an alpha or beta tester, we want to hear from you. We’ll also email those who’ve already expressed interest.
Labor Compliance Alerts
We’re building the ability to set daily and weekly hour limits by role and employee type, configured to your state’s requirements. We’re not legal experts or labor-law consultants, so the rules are up to you. You’ll get real-time alerts when someone is crossing a threshold, even before you approve a sub request. This is big in states like California and New York, with rules around teaching seven days in a row or exceeding certain hours in a trailing seven-day window. Instead of finding out retroactively that you’re out of compliance, you’ll know up front, before you approve someone into a block of classes they shouldn’t take.
Separating Chat and Posts
This is partly new and partly a redesign. We’re splitting Chat and Posts into two distinct experiences. Chat will feel more like Slack inside the web and mobile app. Posts will have its own inbox for formal communication, with the functionality improving based on your feedback.
Here’s the origin story: after we tackled subbing, the big ask was, “I send mass emails and WhatsApps to my team about policy updates, can you build something where I can send mass communication, not get flooded with replies, and know they actually read it and complied?” That’s how Posts was born. Then came, “we’re still doing real-time communication in iMessage and WhatsApp, can you build a chat capability?” That’s Chat. We originally combined the two, and now we’re splitting them into their own distinct experiences.
Customizable Subbing Tiers
Another one that’s been on Danielle’s and my list for a long time. You can already customize your subbing policies. This takes it further: define who’s permanent staff versus part-time or sub-only, with specific escalation windows. Today our system treats 24 hours as urgent across the board, but some of you consider seven days urgent, or three days, or two hours. Subbing Tiers will give you more control over how requests escalate through groups.
Emergency Sub Workflow
On the topic of emergencies and subbing: today we define 24 hours as urgent. You’ll be able to control that, down to approval type, who gets notified, and how fast, all based on your own definition of urgent and emergency.
Some of these are Q3, some Q4, but all of it is 2026. As founder, in partnership with our product and engineering team, I’m committing to that.
Resource Hub revamp
For those using the Resource Hub, it’s getting a full revamp as part of the broader training and knowledge center. It’ll have a new UI and embedded live docs, so you can connect a living Google Drive document instead of downloading and re-uploading it, plus other new capabilities. Again, two experiences: on-the-go resources for “I need help right now,” and the Training LMS for courses, quizzes, and structured onboarding.
Plans and pricing
Danny: To set the stage on how you access all of this: all customers who signed up since Q4 of last year are on our new plans and packaging, which we introduced in preparation for the new capabilities we’ve been building.
So what about customers from before Q4 2025? Don’t stress, this isn’t happening overnight. It’s a two-to-three-year process of moving people onto the right plan for them.
The plans map to specific jobs to be done. Core is what everyone originally signed up for, centered on class coverage and continuity, the core subbing use case. Flow is closest to our old legacy Pro plan, adding communication, resources, staff documentation, and certification collection. Elevate gives operators the tools to manage and run their entire team in one place, not just instructors, the whole facility. Some multi-location health clubs have put all their departments into NetGym on Elevate because of shift scheduling, time clock, e-signatures, and the advanced tools we’re building. Most of the newest features live on Elevate.
These plans are public on our website. For long-time customers on legacy plans, don’t worry, migration will take time, and many are already choosing to upgrade to Elevate as they broaden NetGym across their teams. As we keep solving more problems, new plans and pricing will naturally follow.
Resources and the help center
Danny: A reminder: you can find all these updates in the changelog and help articles, plus blogs on how to use NetGym in real business situations.
One thing worth calling out. We moved our help center out of the little chat bubble in the bottom right. Now, in the left-hand navigation, there’s a Help button near your name at the bottom. Open it and you can browse the help center, ask a question, or start a conversation with Avery. That same 100-location customer I mentioned pointed her area and studio managers to it, and suddenly they were getting answers in real time.
Some of you still email me personally. I’m working on SOPs so my EA routes those to the right people, and you’ve probably seen my out-of-office pointing you here. As we scale, we want questions funneled to the help center where they belong.
Upcoming events
Danny: We’ve got Live Product Training on July 15, and we’ll do more of these now that Helen is on board, she came from five years at Mariana Tek doing a similar role. And we have a Leadership & Ops Roundtable hosted by Jess, who came from the boutique fitness world. Those roundtables are less about NetGym and more about the day-to-day of operating your business and networking with peers like you.
Wrap-up
Danny: Q2 in a nutshell, and in 35 minutes. Usually my wife runs these. If you want to talk through making the most of these features or give feedback, email us anytime at vip@netgym.com. You’ve got the customer events, and multi-location operators have assigned CSMs. Everything is in the help center in Intercom to enable and train you, and if something’s missing, we’re constantly analyzing customer conversations so we can optimize it. The more you use Avery and search the knowledge articles, the more it helps us improve it.
I’m going to do a self mic-drop here. Danielle, I subbed for you.
Jess: That was fantastic, Danny. If anyone has questions we missed, resurface them in the chat. As soon as I get the recording processed, I’ll send it out by email along with the questions that came up and all the links that were shared.
Danny: One more way to get alerts: Jess posts our feature launches on Instagram, @thenetgym. LinkedIn is coming soon, and yes, we’ll do baby pics too.
Jess: Follow along for product updates and some dad jokes and memes. Register for Live Product Training with Helen next week if you want to go deeper on product, and register for the Leadership & Ops Roundtable with me in two weeks if you want to talk through leadership challenges, because managing people is no small feat. Thanks so much for spending part of your July afternoon with us. Happy fitnessing, and we’ll see you soon.
Danny: Bye everyone.
